Booking Terms

Entire Agreement: This agreement contains the entire understanding between the Clients and the photographer / videographer.

 

Invoice: Full invoice is to be created and sent to the clients by the photographer and videographer as soon as hours and pricing is agreed by the mutual parties, normally at pre-wedding meeting.

 

Booking Fee: The booking fee is due on signing this agreement (Booking Fee is 25% of the amount agreed), with the balance of the amount agreed due 1 month before the photo session unless stated otherwise. 

Hospitality: The Clients agree to provide a meal for the photographer and videographer if the length of attendance exceeds five hours.

Pre-Consultation: The Clients will outline broadly what is required and the photographer and videographer will advise on planning, logistics and timings where needed. If required the Clients are welcome to keep in contact for an additional consultation closer to the time of the photo session (about 2 weeks) to clarify the remaining details. In any case we will contact you by phone or email a few days before to ensure that there have been no last minute changes. 

 

Cooperation: The Clients and the photographer and videographer consent to happily cooperating and communicating with each other to achieve the best possible result within the understanding of this contract. 

The Schedule: Both the Clients and the photographer and videographer therefore agree that punctuality and cheerful cooperation are essential to producing outstanding photographic results. 

House Rules: Note the photographer and videographer are sometimes limited by rules imposed by venue management as to what can and cannot be done. For example some venues insist that no flash photography is allowed, and others will insist that the photographers shoot from a specific location. In such circumstances the Clients agree to accept the technical limitations that may be imposed on the equipment used. We advise the Clients to make themselves aware of the rules of the venue concerned and if necessary negotiate with the personnel concerned.

 

Copyright Law: The copyright of photographs remains with the photographer and videographer. The photographer and videographer grants the Clients permission to make copies of the images under the following conditions. The images taken by the photographer are for personal use by the Clients and their friends and relatives. Sale, Publication or any Commercial use of the photographs is not allowed without prior written permission from the Photographer. This also account for all videos provided by the videographer.

 

Photo editing: Photographs from the shoot will be edited by the photographer. These photos will be edited to ensure that the best quality is available to you. This will include altering exposure and brightness and potentially colour alteration also. With this in mind, it is noted that no RAW files will be provided to the client and re-editing the work of the photographer is prohibited. 

 

Video editing: The videographer will edit the videos into the set of ‘films’ agreed at the pre-wedding meeting. This will include the discussed music choice and length of feature. The videographer will edit the video using his discretion to edit and enhance the video provided to you. Music used in the final videos may be subject to copyright and therefore cannot be posted to social media (such as Youtube) without the permission of the videographer.

Limit of Liability: If a photographer or videographer is too ill or becomes injured and cannot supply the services specified above the photographer or videographer will try to book a replacement supplier. If the photographer or videographer is unavailable and a replacement photographer cannot be found then liability is limited to a refund of any payments received. The photographers and videographers have working methods in place to prevent loss or damage to your images. However, there is the unlikely possibility that images may be lost, stolen or destroyed for reasons in or beyond our control. In these circumstances liability is limited to the return of fees paid for the service or part thereof according to the percentage of images supplied.

 

Photo printing: Unless stated otherwise, your wedding package does not include photograph printing. However, all images will be digitally sent to you and ready to print for yourself but will not be provided by the photographer. 

 

Personal Accident: The Clients understand that all photographs are taken at the Clients own risk. If any personal accident occurs during the photoshoot it is not at the liability of the photographer and no compensation provided. 

 

Booking Fee/Deposit: In the event of the Clients cancelling the wedding for whatever reason the booking fee is non-refundable. It will be considered as liquidated damages to the Photographers. 

 

Privacy Policy: Pettitt Photography will only collate the data and personal information given to us with consent by yourself in relation to your event. If at any time, you wish to see the information we hold about you, we are very happy to comply. If at any time, you wish for Pettitt Photography to delete the information we hold about you, we will do so immediately. Your data is stored on a password protected static Apple iMac. Temporarily, your information is stored as a PDF document on our mobile iPhones, this is for the sake of easy transport on your event day and our need for important details such as addresses and phone numbers when mobile.

 

Use of your data: None of your information will be given to ANY third party without your explicit consent, however, there is no reason for us to share your information. Upon signing this agreement, you are given the option to give permission for Pettitt Photography to use your media (photos/videos) on our main website; www.pettittphotography.co.uk and our linked social media pages (www.facebook.com/pettittphotography1 and www.facebook.com/pettittphotographyvideography and www.instagram.com/pettittphotography . The sole reason for posting your photos and videos is to advertise the Pettitt Photography business to future or existing clients. If you do not want your media to be shared in this way, please let us know and we will not post these anywhere.
